How to password protect a PDF before sharing
Add a strong PDF password, share it safely and understand what document encryption can and cannot protect.
Use a strong, unique password
Choose a long password that is not reused for another account or document. A password manager can generate and store a strong value more reliably than a short memorable word.
Send the password separately
Do not put the PDF and its password in the same email or message. Share the file through one channel and the password through another trusted channel when the document is sensitive.
What PDF protection does
Encryption prevents someone without the password from casually opening the file. It does not stop an authorized reader from taking screenshots, copying visible information or sharing an unlocked copy.
Keep an unencrypted original
Store the source safely before adding protection. If the password is lost, recovery may be impossible and MyFileNest cannot retrieve it for you.
Verify the downloaded protected copy
Use an unencrypted source and enter a new password in Protect PDF. The current tool requires at least eight characters and uses 256-bit PDF encryption; a longer unique password is a better choice than merely meeting the minimum. Download the result, close the preview and open the saved file in a separate PDF viewer.
Confirm that opening requires the password, that a wrong password fails and that the correct one displays every page. Do not assume that a success message proves your recipient's viewer supports the result. Ask them to test with a non-sensitive sample when compatibility is uncertain.
Protection, redaction and signatures solve different problems
An opening password controls access to the document. It does not remove confidential passages from a copy someone can open. If the recipient must never see particular content, prepare and verify a redacted copy before protecting it. A drawn signature is also different from a certificate-based digital signature.
Keep the unmodified source securely. Rewriting an already digitally signed PDF may invalidate its signature, and this tool cannot recover a forgotten password. Share the password through a separate trusted channel after verifying the recipient.
