Use the smallest safe PDF workflow

PDF is a container for pages, fonts, images, forms and annotations. Choose a tool that changes only what you need, keep the original, and verify the downloaded copy before relying on it.

Organize before editing

Merge related documents in a deliberate reading order, or extract only the pages a recipient needs. Removing unnecessary pages reduces file size and the risk of sharing unrelated information.

Unlock a protected document with the password you already know before trying to merge, split or edit it. Damaged and unusually complex files may need specialist software.

Understand visual and real changes

A visible black rectangle is not necessarily secure redaction because underlying text can remain selectable. Likewise, a signature image is not a certificate-backed digital signature.

Scanned pages contain pixels rather than ordinary selectable text. Run OCR when search or copying matters, then compare important names, dates and numbers with the source.

Verify the final copy

Open the output in a second viewer and check page count, order, orientation, links, form values and small text. Compression results depend on the source; an already optimized or image-heavy PDF may not become smaller.

Create a new output instead of overwriting the original. For legal, medical, financial or archival work, follow the responsible organization's approved process.
